Office Administration Specialist

North York, ON – Onsite

We are looking for a reliable and organized Office Administration Specialist to help our client keep their day-to-day operations running smoothly. If you enjoy maintaining order, supporting a team, and handling a variety of tasks, this could be a great fit!  This role will be required for an initial period of 3 months but could be extended.

Key Responsibilities:

  • Maintaining an organized and efficient office environment
  • Managing emails, phone calls, and general inquiries in a professional manner
  • Coordinating schedules, meetings, and calendars
  • Data entry and basic record keeping
  • Coordinating business logistics and operational arrangements in collaboration with operations teams
  • Supporting basic bookkeeping tasks (invoicing, tracking expenses, reconciling receipts, etc.)
  • Supporting team members with a range of administrative tasks and ad-hoc needs
  • Conducting outbound follow up calls and liaising with vendors as needed

Qualifications:

  • Strong organizational skills and attention to detail
  • A proactive, energetic, and dependable approach to work
  • Excellent communication skills, both written and verbal
  • Ability to manage multiple priorities effectively across departments
  • Previous administrative experience in a busy office environment
